General Information:

The Bluegrass Festival committee juries all applications and selects the vendors for each festival.  Preference is given to vendors who feature Bluegrass, Folk, and Country themed/related merchandise or services.

The committee reserves the right to return or deny any application which is incomplete or not paid in full by the stipulated deadline.  All decisions made by the committee regarding the acceptance or non-acceptance of your application are final.

Notification of acceptance status shall be sent no later than August 1.  Anyone not selected to vend will have their booth fee refunded in full.

About The Booths:

Booth spaces are indoor!  It has concrete floors, which may or may not be heated, depending on the weather.  Do not leave heat-sensitive merchandise on the floor.

Booth operation hours are  Saturday 11:00 am – 10:00 pm.  You MUST have your booth staffed and operational during these hours -DO NOT TEAR DOWN EARLY!  (Festival entertainment will end at about 10:00 p.m.)

Vendor load-in times are Friday from 6:00 – 9:00 pm, and Saturday from 8:00 – 01:00 am.  All booths must be up and running by 11:00 am.

The building will be closed and locked Friday evening.

Vendor load-out time will be Saturday from 10:30 – midnight and Sunday from 9:00 – 11:00 am.

Vendor Perks – Free Tickets:

Because you are a vendor, you automatically qualify to receive free Festival tickets.  This includes free Festival admission for 1 other person working in your booth (2 tickets total).

Volunteer for Additional “Free” Tickets:

If you have additional people (guests & family members) you would like to bring along to attend the Festival, they can earn free admission as well, by doing a volunteer shift during the festival.

Volunteer shifts are 3 or 4 hours long, with a large variety of different jobs available. Volunteers can earn one free pass per shift worked.

Vendor Terms & Conditions:

►Beer and wine will be sold on the premises. Outside coolers, containers, and bottles are not allowed. Those who wish to drink are required to wear an age verified wristband obtainable at the festival bars.

►If you need electricity, you are required to supply your own extension cord and power strip.

►Camping- For RVs, trailers, and other large vehicles, there is very limited parking on the premises (there are no hookups and no dumping is allowed) so it is recommended that Vendors stay in local hotels and campgrounds. See Festival Lodging.

►Evanston Bluegrass Festival enforces a zero-tolerance drug policy. Anyone caught using or in possession of illegal substances will be required to leave immediately and not be invited to return.

►Smoking is permitted outdoors in designated smoking areas only.

►NO PETS are allowed on festival grounds without prior written approval from festival management.

►Participants consent to the use of their names, pictures, images, recorded voice, or music in connection with festival events and without inspection for such purposes as commercial or promotional use.

►All Vendors and guests of Vendors agree to comply with festival, Federal, State, County, and local ordinances and/or regulations.

►All Food Vendors:  DO NOT PUT GREASE OR COOKING WATER IN THE DRAINS.

►Do not play music or anything that could detract from the festival’s music.

►DO NOT EXCEED your allotted vending area

►All Vendors and guests of Vendors agree to defend, indemnify, and hold harmless The Arts Inc of Southwest Wyoming / Young Musicians, Inc. (festival presenter), the City of Evanston, Roundhouse Complex, or any other festival site or management, their officers, boards, employees, volunteers, independent contractors, or agents for any liability and any damages whatsoever, including, but not limited to, property damage, loss or theft of property, personal injury or death arising out of or in any manner connected with the use of premises, with or without Festival’s permission.
